Right Choice Tax Suite (also referred to as “Right Choice,” “we,” “our,” or “us”) respects the privacy of tax professionals, participating EROs, prospective partners, Academy learners, and individuals who contact us. This notice describes our information practices for the Right Choice Tax Suite website, software and Service Bureau enrollment, public inquiry forms, communications, educational programs, and related online services.
This notice applies to the Right Choice Tax Suite offering, not automatically to Right Choice Tax Solutions’ separate consumer-facing tax-preparation app, kiosk, or client portal. Other services may present separate privacy notices and agreements. This notice does not replace a required taxpayer consent, signed participation agreement, processor mandate, or written information security program.
Please do not upload or send tax returns, SSNs, full payment details, identity documents or account passwords. Sensitive ERO and taxpayer records belong in an authorized secure channel.
1. Information We Collect
The categories of information depend on how you interact with us. We seek to collect only what is reasonably needed for the applicable business purpose.
- Contact and identity details: name, business name, email, telephone number, mailing or business address, and inquiry or referral details.
- ERO and business enrollment: legal-business identity, DBA, EIN where relevant, applicable PTIN/EFIN or provider information, professional eligibility documents, insurance/compliance acknowledgments, signed agreements, and authorized onboarding records.
- Purchases and billing: package or course selection, transaction dates, payment status, invoices, processor/customer references, limited payment metadata such as last four digits where provided by the processor, and contractual payment authorizations. We do not ask you to enter full card numbers or security codes into ordinary website inquiry forms.
- Academy and training: course registration, membership entitlement, attendance, training progress, quiz/assessment results, certificates or completion status, submitted assignments, support questions, and any participation in scheduled live sessions.
- Communication and support: messages, appointments, correspondence, call or message metadata, and—where used and appropriately disclosed—call recordings, transcripts, and AI-assisted routing records.
- Technical and usage information: IP address, browser/device type, operating system, site-navigation and referral data, security/login events, cookies, approximate location derived from IP address, and diagnostic information.
Sensitive taxpayer information may be handled only when required for an authorized software, Service Bureau, support, or legally permitted service through an approved secure channel. Do not send taxpayer returns, Social Security numbers, identification documents, bank credentials, passwords, or full card information through the general Contact form, ordinary email, or social-media direct messages.
2. Sources of Information
We may receive information directly from you, from your authorized tax business or its representatives, through our website and enrollment forms, through payment and course platforms, from your communications with our team, and from authorized software, Service Bureau, bank-product, identity, or technical service providers as necessary for the requested service.
We also collect limited technical information automatically when you visit our pages or interact with approved website integrations.
3. How We Use Information
- Respond to inquiries, schedule meetings, and provide software/product information requested by you.
- Evaluate applications; verify business and participant information; manage agreements, compliance, approvals, provisioning, renewals, suspension, and offboarding.
- Deliver and administer software-related support, Service Bureau operations, group and individual training, Academy access, quizzes, certificates, digital resources, and customer service.
- Process purchases and invoices through authorized processors; maintain accounting records; address refunds, disputes, reconciliations, and valid ongoing contractual obligations.
- Send operational notices, enrollment steps, class reminders, security alerts, and other service communications; send promotional communications only where permitted and, when required, with separate consent.
- Improve site performance, measure service usage, maintain access controls, detect fraud or misuse, investigate incidents, comply with lawful requests, and meet legal or provider obligations.
Buying a package does not itself grant software credentials or unrestricted Academy benefits. Agreement, compliance, training/assessment, and internal approval requirements are separately administered.
4. Confidential Taxpayer and Tax-Return Information
When Right Choice provides services in connection with the preparation of tax returns or receives protected tax-return information, we handle it under applicable confidentiality, contractual, and legal restrictions, including Internal Revenue Code § 7216 and its regulations where applicable. We do not treat this general Privacy Policy, a general website inquiry, or consent to marketing as a substitute for a taxpayer’s separately required written consent to a particular use or disclosure.
Participating EROs remain responsible for lawfully collecting and safeguarding information entrusted to their own businesses, obtaining required taxpayer authorizations, supervising their personnel, and using approved secure systems. We do not request raw taxpayer records through public marketing forms.
5. Payments and Financial Information
Payment pages may be hosted or processed through GoHighLevel/LeadConnector, Stripe, FastPayDirect or other approved payment providers. The payment provider processes payment credentials under its applicable notices and terms. Our business records generally contain limited transaction and authorization references needed to manage a purchase; ordinary Cloudflare marketing pages are not intended to collect full payment-card or bank-account credentials.
Any saved-payment method, future/off-session collection, ACH authorization, or other ongoing payment obligation requires the separate applicable processor-supported authorization and governing agreement. This Privacy Policy alone is not that authorization.
6. Academy, Live Events, and Account Information
We use enrollment, course-progress, assessment, attendance, and account-access information to provide and administer the Academy and apply the relevant package or course entitlements. Live-session recordings, if offered, should be identified to participants before recording begins; participation may be visible or audible to other attendees. Where available, learners should use the instructor-designated channel for questions involving personal business details.
Each paid student or participant should use an individual login and protect their credentials. Account-sharing restrictions, session controls, and additional security verification may be applied as supported by the actual learning platform. No fixed-IP or VPN restriction is represented as active unless specifically implemented and disclosed.
7. Voice AI, Automation, and Support
We may use automated workflows, messaging systems, and an AI-assisted telephone representative (Kelsey) to direct inquiries, identify service interests, provide general information, and route callers to appropriate human or technical support. Interactions may be processed by authorized technology providers. If call recording or transcription is enabled, we will provide notices or obtain consent when required by applicable law.
Do not provide full taxpayer identification numbers, passwords, card data, or tax returns through general-purpose AI, open web chat, or public inquiry channels. Automated support is not a substitute for individualized tax or legal advice.
8. Email, SMS, and Marketing Choices
We may send transactional or service-related communications to administer your inquiry, purchase, enrollment, appointment, class, security, or account. Promotional email/text messaging is handled separately where consent is required. Agreeing to receive marketing messages is not a condition of purchasing a package or course unless a particular communication is genuinely necessary to provide that service.
Where an SMS program is offered, message frequency may vary; message/data rates may apply. Follow the opt-out instructions provided in the message (typically replying STOP) and use HELP for assistance where supported. You can unsubscribe from marketing emails using the link provided or contact us. Opting out of marketing may not prevent necessary service or legal notices through other permitted channels.
We do not sell or share mobile telephone numbers or SMS opt-in information with third parties or affiliates for their independent marketing or promotional purposes. We may use contracted messaging providers solely to deliver communications for us, subject to appropriate safeguards.
9. When We Share Information
We disclose information only as reasonably necessary and permitted for the requested purpose, an approved service, or a legal obligation. Recipients may include:
- Authorized software, transmission, Service Bureau, bank-product, verification, and training platform providers where relevant to the requested offering.
- Hosting, website protection, CRM, communications, scheduling, course delivery, cloud storage, accounting, and payment-processing vendors acting for us under applicable contractual or other safeguards.
- Regulatory agencies, courts, legal counsel, auditors, insurers, or other persons where disclosure is authorized or required by law or needed to protect rights, security, or users.
- A successor or transferee in a legitimate organizational transaction, subject to applicable confidentiality and privacy obligations.
We do not sell personal information or protected tax-return information. The separate statutory and consent limits applicable to taxpayer information continue to apply regardless of any general sharing description in this notice.
10. Cookies, Analytics, and External Links
Our website and integrated platforms may use cookies or similar technologies for essential page functions, security, preferences, traffic measurement, and—where enabled and lawful—marketing attribution. Depending on your browser and applicable law, you may manage cookies through browser settings or a consent interface if provided. Disabling some cookies may impair site or portal functionality.
Buttons may redirect you to a GHL-hosted form, payment processor, course portal, appointment calendar, IRS website, or other independent service. Review the notice presented by that operator for its own data collection. We do not control independent websites merely because we link to them.
11. Data Retention and Disposal
We keep information for the period reasonably needed to fulfill the applicable purpose and any legal, IRS, contractual, accounting, fraud-prevention, litigation-hold, or service-provider obligations. Retention periods vary by record type; inquiry records, enrollment files, course activity, transaction/authorization records, technical logs, and taxpayer-related records need not have the same retention period.
When information is no longer required, we delete, de-identify, or securely dispose of it under our applicable retention and security procedures, subject to technical limitations and legitimate preservation requirements. We cannot promise immediate deletion of records that law or a valid agreement requires us to keep.
12. Information Security
We use and periodically review administrative, technical, and physical safeguards appropriate to the data, systems, and services involved. These may include access restrictions, approved secure portals, vendor oversight, transmission/storage protection, account verification, logging, incident response, and a written information-security program where required. Controls differ by platform and may evolve as services, staff, vendors, and technology change.
No method of storage or transmission is completely risk-free. Please use secure networks, safeguard personal logins, avoid sharing Academy credentials, and notify us promptly of suspected account compromise. Never include SSNs, full payment credentials, or IRS portal passwords in ordinary website inquiries.
13. Privacy Choices and Requests
Depending on your residence and applicable law, you may be able to request access to, correction of, a copy of, or deletion of certain personal information, or exercise other applicable privacy choices. We may first verify your identity and authority and may limit a request where legal, security, taxpayer-confidentiality, recordkeeping, fraud-prevention, or another lawful exception applies.
To make a request, contact Right Choice Tax Suite using the contact methods in Section 18 and describe it as a “Privacy Request.” If applicable law grants you an appeal right following a denial, we will explain the relevant procedure in our response. To update message preferences, use the applicable unsubscribe or opt-out mechanism.
14. Service Providers and Data Location
Our website, CRM, payment, communication, and educational systems may be operated by authorized third-party providers. Information may be processed or stored in the United States or in other jurisdictions where an approved service provider operates, subject to applicable contractual and legal safeguards. We review service-provider arrangements as appropriate for the sensitivity of the information and our role in its processing.
15. Security Incidents
If we identify a security incident involving personal information, we assess it, take appropriate containment/remediation steps, and provide notifications to affected persons or regulators when and as required by applicable law and the relevant contractual duties. This notice is not a guarantee that every incident will trigger an individual notice.
16. Children’s Privacy
Right Choice Tax Suite’s software, professional training, and business services are intended for adult professionals and business users; the public website is not directed to children under age 13. We do not knowingly solicit information from children under 13 through this service. A parent or guardian who believes a child provided information may contact us for review.
17. Changes to This Policy
We may revise this notice when offerings, security practices, vendors, applicable law, or information-handling activities change. A revised version will display its updated date and be posted at this page. Where law requires a separate notice or consent for a material change, we will provide it. Continued browsing alone does not substitute for a legally required affirmative consent.
